QuickBooks Advanced vs Plus is $340 a month against $140 on Intuit's pricing page as checked in September 2026, so the upgrade is $200 a month, $2,400 a year, per company. For that you get 25 users instead of 5, unlimited classes and locations instead of 40, custom roles, workflow automation, batch invoicing, revenue recognition, fixed assets, backup and restore, Spreadsheet Sync, a KPI dashboard, Priority Circle support, and the Finance agent with 25 AI questions a month. You do not get consolidation. If you own three companies, Advanced is $1,020 a month and still shows you three separate pictures.
The price, once
Intuit's pricing page, checked in September 2026, lists Simple Start at $38 a month, Essentials at $85, Plus at $140 and Advanced at $340, with 50% off for the first three months and a 30-day free trial as the alternative to the discount. Those are the list prices in force since 1 August 2026. Check the pricing page again the week you decide, because the list prices changed on 1 August 2026 and the AI limits on 27 August 2026, and nothing says either was the last change. Everything below uses list. The discount ends.
What each tier includes
The table is taken from Intuit's pricing page and Fit Small Business's comparison of 1 September 2026, and shows only the features that differ, because everything Plus has Advanced has too, and a line that reads the same on both sides tells you nothing about which to buy. Upgrading keeps the same file.

The four features that pay for themselves at 25 to 50 staff
The sixth user is the usual trigger. Plus stops at five, and a company with an owner, a spouse, an office manager, an outside bookkeeper and a CPA is already there. Add a dispatcher who enters bills and the choice is Advanced or a shared login, and a shared login means nobody knows who changed what.
A class in QuickBooks Online is a tag on a transaction that lets you split one company's P&L by department, job type or location. Plus caps classes and locations at 40 combined. A company that tracks by crew, by truck and by service line reaches 40 in a couple of years, and the workaround of retiring old classes throws away history. Whether to use classes at all, or separate files, is its own decision, in separate files or classes for multiple LLCs.
Custom roles are permission sets that limit what a user can see and do. On Plus, a user who can enter bills can generally see everything else. On Advanced you can build a role that lets the office manager run AP and AR and never open payroll or the owner's draws. That is the feature most owners would pay $200 a month for on its own.
Batch invoicing matters past a certain volume. A property company sending 120 rent invoices on the first of the month, or a service company billing maintenance agreements, saves real hours with batch entry. Below a few dozen invoices a month it does not.
The four that rarely do
Revenue recognition is the accounting for income earned over time rather than at invoice, spreading a prepaid annual contract across twelve months. It is a real need for software companies and a rare one for a contractor or a hotel.
The fixed asset module tracks equipment and depreciation inside QuickBooks. Most 25-to-50-person companies have a CPA who keeps the depreciation schedule at year end. Two schedules are worse than one.
Workflows automate reminders and approvals, which are useful once there are approvers, and that usually means a finance person on staff, because an owner who approves every bill personally does not need software to remind them to do it. Backup and restore mostly gets used to undo a bad import.
The AI, plainly
Intuit's Finance agent page says the agent is "currently available to QuickBooks Advanced and Intuit Enterprise Suite users," and that Advanced chat is limited to 25 questions a month. Intuit's help article on Intuit Intelligence, updated 27 August 2026, says the chat has "monthly usage limits that reset each billing cycle," that a $10-a-month add-on buys "a significant increase to your monthly prompt allowance," and that it "does not provide unlimited prompts, and there are currently no plans that offer unlimited prompts." On Plus the pricing page shows AI chat as a limited-capacity beta, which in practice means it may be there and may not.
Twenty-five questions is about one a working day, and each company is its own subscription, so a question about all three of your companies is three questions in three tabs and some arithmetic. What the agents do and do not do is in Intuit Intelligence and the QuickBooks AI agents.
The KPI dashboard on Advanced ships 10 standard KPIs, against 48-plus in Intuit Enterprise Suite, per Insightful Accountant's Summer 2025 review. Ten is enough for one company. It is still one company.
Spreadsheet Sync is the Excel add-in bundled with Advanced that pulls QuickBooks reports into a workbook and, for several companies, into one workbook. Intuit's FAQ, updated 5 August 2026, says it is available on Advanced or through an accountant and is included in the subscription. It is the closest QuickBooks Online comes to a multi-company view; its limits are in what Spreadsheet Sync actually does.
The multi-company math
Every company file is its own subscription at its own tier, so the upgrade price scales with the number of companies, and so does the thing it does not buy.

At three companies the difference is $7,200 a year, and at the end of it you have three better-equipped files, 75 AI questions a month in three tabs, and a management fee still counted as revenue in one file and expense in another. Common advice is that a growing company should move up a tier as it grows. We would put it differently. Plus versus Advanced is about features, not size, and a 45-person company with four users, twenty classes and one office manager who can see everything has no reason to upgrade until one of those changes. A 12-person company with six users has every reason.
Navigator is the reporting-layer answer to the last column. It reads each QuickBooks Online file read-only, on Plus or Advanced, and shows the companies one at a time and together. Deciding by symptom
If you have hit the 40-class cap, upgrade the file that hit it. Only that one. If you need a sixth user, upgrade, and set up custom roles the same day. If you want someone kept out of payroll, upgrade for the roles alone; there is no Plus workaround that is not a shared login.
If you want an AI answer about your numbers, the honest answer is that 25 questions a month on one company is a thin reason for $2,400 a year, and a general model with a read-only connector, or a reporting tool, will answer more questions for less. If you want one picture across your companies, no tier of QuickBooks Online gives it, and upgrading three files to Advanced gets you three dashboards.
What this comparison cannot tell you is what Intuit will charge you next year. Before you upgrade, ask three things in writing: the renewal price after the promotional period, whether the 50% offer applies to an existing company file or only a new subscription, and what happens to Advanced-only data such as custom fields and roles if you later downgrade. We have not found clear public answers to the second and third.
